Here's a cool idea that I have used from time to time. Tell me what you think.
Would'nt it be great if every customer that calls your shop was already sorted, sifted, pre-sold, is zero price resistance, and ready to go?
You can make it that way and it may be easier than you think!
Most phone companies offer voice mail. By that I mean you can get a dedicated number that rings into their voice mail system. Mine has the capability to record a 10 minute outgoing message. Here's how I have used it in the past.
If your like me it is very difficult trying to work when most of your time is being wasted on the phone, answering the same questions, overcoming the same price objections, giving a quote, and trying to educate the customer why you use what you use, explain your qualifications ect.. ect..
With a prerecorded voicemail message your customers can now call, listen to a short informative message. A message that explaines why they can know that only quality products go into every sign you make. Your guarantee's that eliminate their fears from unsatisfactory craftmanship. They can expect their orders in a timely manner. Any specials or discounts being offered. Plus, additional services that they may not know you provide.
Try to include somthing like this on a flyer being sent to a targeted market ie.. vehical letteing. WARNING: Don't call any sign or graphic company until you listen to this message! Learn 6 costly misconceptions about vehical lettering and 5 questions you should ask before letting anyone letter your vehicals! Call 24 hrs a day xxx-xxxx
The customer listens to the message. He is educated about vehical graphics in general. He now knows the risk free guarantees you offer. He knows your not the cheapest in town thus eliminating price shoppers. You then give the reasons why you use only quality materials for those that want quality not just cheap price. (On your recorded message you can also include testimonials of other companies that has praised your work and service.) In fact you can even have dedicated testimonial line. It has a small message from you but includes the actual voice of your many and satisfied customers praising your work and recommending you as the shop to use.
Those who listen in on these recordings are WOW'ed! They are impressed, pre-sold, and confident that you are the right company for them. They either leave their name at the end of the message or directed to another phone # which you pick up live.
It's a proven marketing stradegy. Tell me what you think!

I believe in targeted marketing, but for a small shop all calls have to be answered. If there are several specialist, sorting the calls are fine, but it must be done quickly. If you want your customers to lisiten to an educational message about your products, offer it right away and offer the chance to bypass the taped message. Don't begin the practice of leading a customer from one menu to another unless you are a very large operator. After hours, I guess more versatility and latitude on this matter could be employed.
Let me ask an additional semi-related question here.
How many shops have thought about or have actually "opted-in" to the e-mail lists for their advertising needs? Would you?

Yep when I had my shop I would have a recording similar to what you are describing. However most people want and need to talk to a 'real person'. That is why I now use my cell number as my sole business number.

It's a good idea but you do need to offer the option of skipping the recorded message and just let them leave one for you.
People are sick of jumping through hoops and hitting buttons just to get to where they can finally talk to someone or leave a message.. any time we call a bank or a larger business or a tech support line, it's the same thing... sit and wait.. hit a button.. sit and wait some more, hit another button..
I've gotten to the point that I wont even deal with a company that requires me to waste my time listening to pre-recorded messages and pushing buttons. I dont mind pushing one or two buttons to get to a message or live voice, but option upon option upon option just drives me insane.

I agree with Mike Pipes on this one. Don't do it. It would absolutely drive me over the bend if I called you. I don't listen to long recordings on a phone. If you did something like this maybe a voice recording of your where your web site is and other options to reach you. That is about all I would do.

There was a study made of companies using voice mail machines for a marketing company. The company felt that they did not lose because of the switch. However, the study found the company lost in the long run because it traded customers to those who tolerated voice mail. Thier customer base did not grow. total income remained flat, phone line usage went up (hang ups) while actual phone contact went down. The company initally was very proud that they were saving money by using a robot but later went back to a human.

Thanks for the replies. Your right, I agree customers want to talk to someone live. Nor does anyone want to go through a bunch of multi-button pressing options. That must be why I hate calling the phone company. Or the IRS!
But this recording is not your shops answering machine. It's not intended to take the place of a live person. It is an additional option that allows customers to call a recorded message for more information. Its purpose is to pre-sale and pre-qualify your customers by answering basic questions ie.. why should I do business with you? Are you going to rip me off once your out of sight? Are you reputable? Experienced?
As I mentioned earlier, another use for a pre-recorded message could be as a testimonial hotline. This is a pre-recorded message which has your actual customers saying why they use and recommend your shop and services.
Your customers will by far believe what others have to say about you much more than what you say about yourself.
If you want higher job tickets from your customers you must first give them the reasons why!
It's been my experience that that the customers that I seek after most are on the higher end of the pay scale. These types of people tend to want more information and are willing to buy based on quality and price alone.

I'm an answer the phone personally type guy. There is a recording if I'm not available, but personally I don't talk to them much. I like real people with information that answers my questions sppecifically. I try to give the same thing out that I would like to get.
In a big world of big companies and mazes of buttons to push before we actually get what we need it is my hope that us little folks can be a breath of fresh air.
It might work for city folks but not in my life.

Jim, I completely hear you - and I think it is a real neat idea. This is NOT your regular phone number, but a special 24 hr info number, kind of like a verbal web site - a place people can come (annonomously) any time to listen to pre-recorded information. I can tell you're from a fairly agressive marketing background. That's something the artist side of us can benefit from and I appreciate your sharing. The whole tone of your sample teaser copy inviting people to call, sounds like some internet adsvertising tips I have been exposed to recently. Not the kind of 'slick' (polished, slick in a good way) promotions we common sign folk are used to being aligned with, but tried-and-true marketing methods that have been tested and developed by experts. I think the craftsmanship aspect of this trade sometimes keeps us from wanting to appear that we're blowing our own horns too loudly. If you're really good, the world is supposed to find YOU. The worst think I can imagine is someone who is 'bad' puffing themselves up about how great they are. But being modest doesn't always work as we'd like it to either, so I'm trying to keep an open mind. Ill be listening for more tidbits from you.

You can have the best talent, the latest technology, and all the know how that you can absorb. But if your phones don't ring, you'll be just as broke as the guy who ain't got a clue about what he's doing!
Try the testimonial line. It will set you head and shoulders above your competitors.

an info line for those who are shy about talking to you cuz all they want is to check around untill they get a real chance to call. Give them an easy way to contact you too. such as an email addy. or a url to yer website.

My library is full of maketing books. There is a wealth of info if you know where to look. This is not stuff they teach you college.
Also, don't confuse this pre-recorded message as a primary means to contact your shop. That's not it's purpose. It's sole purpose is to educate, pre-sort, and pre-sale.
Yes, by all means, make it easy for customers to get a hold of you. But if you market right, then you will find the majority of those who call are already pre-sold. (Im not referring to size, color, and "where do you want it.") But rather it address the questions as those that I already mentioned in earlier posts.

I believe in answering every call I can. My Biz number is my cell phone, so i always have it unless I'm asleep Most customers have a short attention span and will go elsewhere if they get a message. I'm not knocking your idea, but I don't feel it would work in my area, (Southern NJ).

Jim...how would the potential customer know if she should call the pre-recorded message line or the "I need a sign right away" line with you answering it?

Chuck, it could be mentioned on your business cards, fliers, web site, vehicle sign, any form of advertising you might do...
People can call your regular 'Real Person' line during business hours, or the special 'Info' line anytime for recorded message. It just dawned on me that the same tool could be in a couple other ways too - It could play in the background anytime someone is on hold, and it could be an option on your regular line for after hours calls or any time you need to let a machine take the call. Your message could be something like "Thanks for calling bla, bla, please leave a message at the beep. After your message press pound for a pre-recorded lesson on the five things you should ask your sign maker, etc". That may be a way to start using the concept without even adding a new phone number or marketing it. Simply offer it as an option for calls you are already getting.
My ads, flyers, even yellow pages may have several different phone numbers. I always include one that says Office: xxx-xxxx hrs. 8:30-5:00.
However for the pre-recorded messages I ad teaser copy that entices the callers to respond and listen in. They know when they call that number that it is a recording. So there is no sales pressure from a salesman. They can bail out anytime they want. It states that it is 24 hrs. so they can call anytime they want. And when they call they will receive compelling reasons why they should use us and no one else.
Hence, a selling machine 24 hrs a day!
But let me say this once again. If this interests you, start with a testimonial line. Let potential customers hear what others are saying about your service, quality, promptness, ect....This is very compelling to a potential buyer.
