How do I do a Letterhead Meet with a project? I've always just had mini-meets where people simply get together, talk shop, eat food. I've never had any actual projects. Probably because I don't make signs anymore and don't have the equipment and goodies necessary. But, this year, I'm in the beginning stages of planning another Volcano Mini-Meet in May for Cisco's birthday. I have an idea but don't even know if it's kosher to do this - and how to do it. I have a neighborhood sign that is in desperate need of sprucing up. Also, the local volunteer fire dept. will be breaking ground this spring to build their new fire station, right around the corner from me. I thought it might be cool to have everyone make a cool fire dept. sign. How do I go about doing this? Do I provide all the materials? Or do I ask people to bring stuff? Or should I even do this? Do I charge to cover costs if I need to get materials? And how do I know what to get? Any help is greatly appreciated!! Bomba-Dear jackie@volcano.net

I would be a fun job, if they provided the materials.
Maybe it's the ol' Curmudgeon in me, but ....I feel if I , or my friends, are going to volunteer free labor and skills....we should not have to pay for it!

Hi Jackie... Hey girl ya better get busy if this meet is in May! First, do you want to re-do the aging neighborhood sign or do a new firehouse sign? Once you've decided which one you want to tackle, find out the zoning requirements of your city. If this is a bigger meet, you may require an event insurance policy. Perhaps meet with your local town council to see if they will help you with this. If the fire sign is the way you want to go, perhaps the fire department could host a dinner for the Letterheads. You will need port-o-potties, tables & chairs, etc. too. Other local groups might pitch in such as the Kiwanis, churches,or other fire companies. Contact your local TV/radio media as well as the newspaper. Suppliers can and will donate materials. Good ones to ask are 1-Shot, Precision Board, & Laminators, Inc. for starters. You need to ask in writing as well as follow up by phone. Be sure to check with the Letterville vendors and give your final meet info to Barb to post on the Future Meets page. As for charging, I find that unless you are a millionaire, it is a necessary evil. I try to always keep the costs low. Maybe the person who designs the sign or leads the project can get in free. These are just suggestions. You will need to start planning & having meetings ASAP. Love-JILL

Thanks - at least I know where to start.
Peewee - Volcano is just east of Sutter Creek, off Highway 49.
Si - Good Lord - it Does cost money to feed everyone. Every meet I've had has run me a minimum of $300 for food, drinks, etc. I've NEVER charged a dime. Maybe I'm asking the wrong question by asking others to help make a sign for a very poor volunteer fire dept. (Nix the neighborhod idea - I can do that one on my own.)

Jackie, The non profits around here have access to very low cost lumber that is milled and kiln dried at one of the prison camps. Suppose that the lumber were procurred and the sign was carved and gilded as a donation to the FD? It could be coordinated over a three day period, wth some prep work before most arrived.

Why not a swap - the firemen set up a few grills and feed everybody in exchange for the sign. It would be a fun mingling experience.

Jackie, I have been watching your post for a bit now. I think when I get back seeing all that goes on in Mazeppa, I will have some ideas for you. Or I'm sure Mike Meyer or some of the other top signdogs will have some info. I think the concerning factor here is what is your main objective in the meet your having. I know you want to throw my mother a party for the day she had me. So now, it's how do we make it a benefit for everyone concerned. And how big of a meet do you want it to be? So far I see some good ideas, but more are sure to come...
